Client Preferences
When CurrencyXchanger is running on multiple computers, it is said to be running in a Client/Server environment: the Server is the main computer that stores all data; the Clients are the workstations that execute the program. Each computer must have a 'Client Profile' where the administrator has defined specific settings for that particular computer.
Setting up Client Profiles was briefly explained in a previous lesson; however, the following steps will go in further depth on how to change client preferences and how to create new client profiles.
Changing Or Selecting The Client Preferences
- To change or select the client preferences click on 'File' from the menu bar and select 'Client Preferences' from the drop down menu.
Creating a New Profile for a Computer
- To create a new profile for a computer, click 'New' from the 'Client Preferences List' in your tool bar.
The Client Preferences Entry
- In the 'Client Preferences Entry' form, fill in the workstation name in the 'Computer Name' field and fill in the workstation alias (user name or computer name) you wish to set up in the 'Computer Alias' field.
Pick a Branch and a Printer
Continue to fill out the 'Client Preferences Entry' form:
- If you run a multi-branch operation make sure to assign two letters for each branch (e.g. HO for Head Office) next to 'This computer is located in branch'.
This will determine which computer is located in which branch. - Pick a printer this workstation will be linked to from the dropdown list beneath 'Available Printers'.
- Click the corner of the branch to easily paste the printer you chose into the 'Default Printer', 'Cheque Printer', or 'Receipt Printer' fields as per your preference.
You may wish to use various printers depending on what is being printed (Default, Cheque, Receipt).
Note CurrencyXchanger gives you the flexibility to use a different printer for each of those options, however we recommend you leave the 'Default Printer' blank.
Setting Up the Printer for Receipt Printing
Continue to fill out the 'Client Preferences Entry' form:
- In the 'Receipts Printer' column, click on the branch to choose the printer you wish receipts to be printed with.
- In the same column select the page format under 'Page Formats' you wish to print your receipts in.
- You may set extra copies for automatic printing under the 'Extra copies' field by entering the amount of copies you wish to automatically print.
- Click on the man icon to print in portrait (vs. landscape) in the 'Orientation' row.
Pick a receipt format
- Click on the 'Invoice receipt format'.
- You will be directed to a 'List' in a pop up window from which you can choose the format you wish to print your receipt/ invoice in.
For larger prints use 'printInvoice_Large'; for a Thermal printer select 'printInvoice_Thermal' etc. - There are several different options to choose from, select one by clicking on it then hit 'OK'.
Select Cheque format
- If you are using computer cheques, you should select 'Computer Cheques (amount/ name)'. This format is compatible with most new accounting cheque printing software (e.g. QuickBooks 2011).
Automatic printing...
- Select the check boxes below to preset printing options. For example, you could set the system to 'Automatically print Invoices after saving' (only on the workstation that you are editing).
- Once you are done, click 'Save'.
The Client Preference Profile
- Once you have saved a profile, you can edit or duplicate it.
- To edit, select the computer you wish to edit by highlighting it then click 'Edit'.
- To make a copy of the client preference profile you have made, select the workstation you wish to duplicate by highlighting it then click the 'Duplicate Selected Record' button. This will create another profile so that you can use it for another computer.
Duplicate Profile
- A duplicate profile could be edited or reassigned to another computer. To edit, highlight the duplicate profile then click 'Edit'.
Reassign the Duplicated Client Preference Profile
- You can reassign another profile to the current computer by clicking on the button 'Automatically fill-in the computer name'.
- Rename the 'Computer Alias' and leave everything else to be the same, or change your preferences as needed.
